Setting Up GPS Transport Tracking

Add routes and vehicles, activate the driver portal, and give parents live bus tracking.

1. Create your routes

In the Transport section, define each bus route with its stops. A route represents the journey a vehicle makes, for example Route 3, Mikocheni, with the pickup points along the way. Students are then assigned to a route and stop from their profiles, so the system knows who should be on which bus.

2. Register vehicles and drivers

Add each vehicle with its registration details and assign a driver. Drivers get their own login with access only to the driver screens: their route, their student list, and trip controls. The driver portal is mobile-friendly and runs in the browser on the driver's phone, no separate app is needed.

3. Running a trip

The driver starts the trip from their phone when leaving, and the vehicle's position updates on the live map as the trip progresses. At each stop, the driver confirms which students boarded. The trip log records the full history, start, stops, and completion, for the school to review at any time.

4. What parents and admins see

The school admin sees all vehicles on the Vehicle Tracking map in real time. Parents whose children use transport see their child's bus position in the parent portal and can check whether the child was confirmed on board. Transport reports summarise trips and boarding history per route.

Rollout advice

Start with one route for a week before switching on the whole fleet. It gives drivers time to build the habit of starting trips and confirming pickups, and gives you a clean story to tell parents when you announce the feature.
